In 2009, Meji Media were invited to pitch for an international conference hosted by the University of Nottingham which was historically hosted in various cities around the world. The university had previously searched for local suppliers who could organise conference logistics. This had led to a number of mistakes. The university was overcharged for services and the conference was making a loss.
We were commissioned to host the conference in Istanbul in July 2009. Our role was to find a suitable venue for the main conference and workshops, organise a local gala dinner that was typically Turkish, in addition to arranging transportation for a number of delegates. We were also asked to perform event administration duties such as delegate registration and payment processing.
The event was hosted at the Intercontinental Hotel Istanbul. The day delegate rates were negotiated below our target price and the venue was the perfect backdrop for an event situated at a location where delegates could enjoy luxury surroundings and a stay at the exclusive hotel. We hosted a Gala dinner on a boat, incorporating a cruise along the idyllic Bosporus River with local cuisine and entertainment, to the delight of the international delegation. Importantly, the conference generated a significant profit and we were subsequently commissioned to host the following events; Kuala Lumpur 2010, Berlin 2011, Cape Town 2012 and Vienna 2013.
